The specifics

What actually makes an invoice hold up

Four things, each closing a specific way a construction billing dispute usually starts.

Invoices never change by themselves

An invoice is a snapshot of what was approved at the moment it was generated. Editing a work entry or a rate card afterwards never silently changes a document that's already in a client's inbox. If one genuinely needs correcting, an admin can reopen it before it's paid: it keeps its number, the reason is recorded, and the version the client first received stays on file.

CIS deduction and VAT, done properly

Construction Industry Scheme deductions and the domestic reverse charge aren't an afterthought bolted onto a generic invoice template — they're built into how an invoice is calculated from the start.

Access matches the job

A crew sees its own work. An office admin sees everything they need to run the business. A client, if you choose to give them access, sees only their own contracts — nothing else on the platform, ever.

Evidence, not assertions

A logged entry carries a location and a timestamp captured at the moment of entry — so "prove it" has an actual answer, not just a stronger opinion from whoever argues harder.

Common questions

Straight answers

Can an invoice be changed after it's sent?

Not by itself. Editing a work entry or a rate afterwards doesn't change an invoice that's been issued. It only changes if an admin deliberately rebuilds it, before any payment is recorded: it keeps its number, a reason is required, and the version that was sent stays on file. Once it's paid, it can't be changed.

Does HolGrig handle UK CIS and VAT?

Yes, built into invoice calculation directly, not added afterwards.

Can a client see another client's data?

No — access is scoped by role, and a client only ever sees its own contracts.

Is this only for one trade?

It's built around UK time-and-materials subcontracting generally — get in touch and we'll tell you plainly if it's a fit for your setup.
